Billing, Cancellation, Tax, and Refund Policy

How manual invoices and live subscription billing are administered.

Translations are provided for convenience. If a translated version conflicts with the English version, the English version controls unless applicable law requires otherwise.

1. Plans and invoices

Plan scope, location or equipment allowances, unit prices, currency, and billing cadence are shown in the service or written order. Initial pilots may be invoiced manually. Invoice history and status are retained in the customer account.

2. Proration

When live subscription billing is enabled, plan changes follow the configured proration policy. The checkout or billing portal should show the financial effect before a charge is finalized. Manual pilot changes are reflected on the next invoice unless a written order states otherwise.

3. Failed payments

Failed payments may place an account in past-due status and start a grace period. TrapReady sends billing notices to the configured billing contact. Access may be limited after the grace period, but customers retain the ability to export records and address billing.

4. Taxes

Applicable sales tax, VAT, GST, or similar taxes may be calculated by the payment provider based on customer location and tax information. Customers remain responsible for valid exemption documentation and taxes not collected by TrapReady.

5. Cancellation

Unless the order states otherwise, cancellation is scheduled for the end of the current paid period. Customers can reverse a scheduled cancellation before it becomes effective. Partner-sponsored restaurants may assume direct billing without transferring record ownership.

6. Refunds

Authorized owners may submit a refund request from an eligible paid invoice. Approval depends on the order, service period, duplicate or erroneous charges, applicable law, and services already delivered. Approved refunds are returned through the original payment method when possible.

7. Reconciliation

Payment-provider events are recorded idempotently. Invoice, payment, tax, refund, and cancellation states are reconciled from signed provider webhooks and may be rechecked administratively.
